How University Little League collects, uses, and protects your information

University Little League ("ULL," "we," "us," or "our") is a 501(c)(3) nonprofit youth sports organization chartered by Little League International. We operate baseball and softball programs for children ages 4–16 in Fort Worth, Texas. This Privacy Policy describes how we collect, use, share, and protect personal information—including information about children under 13—in compliance with the Children's Online Privacy Protection Act (COPPA, 15 U.S.C. § 6501–6506; 16 CFR Part 312).

2. Information We Collect
We collect only the information reasonably necessary to run our youth baseball and softball programs. All information about children under 13 is collected with verifiable parental consent through our registration process, which requires a parent or legal guardian to create an account and submit the registration form on behalf of their child.

Medical Information
- Allergies
- Medical conditions or notes relevant to player safety
Medical information is collected solely for emergency safety purposes and is shared only with team coaches and league safety officers on a need-to-know basis.
Financial Information
- Payment transaction references (invoice IDs, payment status)
Credit card numbers, bank account details, and other sensitive financial data are processed directly by our payment processors (Stripe and PayPal) and are never stored on our servers or in our database.
Financial Aid Information
- Household income data submitted with scholarship/financial aid applications
Financial aid data is retained for a maximum of one year after the applicable season ends and is then permanently deleted.
Volunteer and Coach Information
- Background check results (processed through a third-party provider)
- Criminal history disclosures (as required by Little League International)
3. How We Use Your Information
We use the information we collect for the following purposes:
- League registration — processing player sign-ups and verifying eligibility
- Team assignment — placing players on teams and rosters by age, division, and skill level
- Communication — sending season updates, schedules, game cancellations, and league announcements to parents and guardians
- Emergency response — providing coaches and safety personnel with medical and contact information in case of injury or emergency
- Compliance — meeting Little League International charter requirements, including player age verification and roster reporting
- Financial administration — processing registration fees, issuing refunds, and managing financial aid applications
- Safety and safeguarding — conducting volunteer background checks and documenting incident/injury reports
4. Third-Party Service Providers
We share personal information only with service providers who are necessary to operate our league. We do not sell, rent, or share personal information for advertising, marketing, or any commercial purpose unrelated to league operations.

Each provider processes data in accordance with their own privacy policies and applicable law. We require that all service providers handle personal information consistent with this policy and COPPA requirements.
5. Data Retention
We retain personal information only as long as necessary for league operations, legal compliance, and safety. The following schedule applies after the end of the relevant season or event:

After the applicable retention period, data is permanently deleted from our systems.
6. Parental Rights Under COPPA
Under the Children's Online Privacy Protection Act, parents and legal guardians of children under 13 have the following rights:
- Review— You may review the personal information we have collected about your child.
- Correction— You may request that we correct any inaccurate information about your child.
- Deletion— You may request that we delete your child's personal information from our records, subject to any legal retention requirements.
- Refuse further collection— You may direct us to stop collecting additional information about your child. Note that this may affect your child's ability to participate in league activities.
To exercise any of these rights, please submit a request through our Data Request Form or email us at registration@fwull.com. We will verify your identity as the child's parent or legal guardian before processing any request. Requests will be fulfilled within 30 days.
7. Data Security
We implement reasonable technical and organizational measures to protect personal information, including:
- Encryption in transit— All data transmitted between your browser and our servers is encrypted using HTTPS/TLS.
- Parameterized database queries— All database operations use parameterized queries to prevent SQL injection and unauthorized data access.
- Role-based access control— Access to personal information is restricted to authorized board members, commissioners, and coaches based on their assigned roles.
- Audit logging— All significant data changes are recorded in an append-only audit log for accountability and incident response.
- Secure session management— Authentication tokens are stored in httpOnly cookies that cannot be accessed by client-side scripts.
No method of electronic storage or transmission is 100% secure. While we strive to protect personal information, we cannot guarantee absolute security.

Our website uses a limited number of cookies, all of which are functional (not used for tracking or advertising):

If we make material changes to how we collect, use, or share children's personal information, we will notify parents and guardians via email before the changes take effect.
